This role goes beyond bookkeeping — you will be the person responsible for the accuracy, compliance, and integrity of our financial operations, while also contributing to inventory optimization and budget planning alongside Ownership and each entities Manager.
KEY DUTIES & RESPONSIBILITIES
- Own the full cycle of day-to-day bookkeeping — recording transactions and reconciling bank accounts to ensure the accuracy and integrity of our financial records across all entities.
- Be responsible for the timely and accurate filing of HST, Source Deductions, and WSIB across the group of companies, ensuring full compliance with all remittance deadlines and regulatory requirements.
- Engage in timely and personable communication with vendors, trades, clients, and staff, conducted through phone, email, and in person.
- Manage the accounting inboxes across the various companies.
- Work closely with each Manager to handle accounts receivable and accounts payable, ensuring timely collections and payments to maintain smooth financial operations within each company.
- Manage critical month-end entries including depreciation and wage accruals, post journal entries, and prepare draft financial statements for monthly review.
- Prepare reporting packages from QuickBooks Online for month-end meetings and quarterly shareholder meetings, ensuring stakeholders have accurate and complete financial information well ahead of each meeting.
- Assist with monitoring and optimizing inventory levels, working with operational teams to identify efficiencies and reduce carrying costs.
- Support each Manager with the annual budget creation process, providing financial data, historical trends, and analysis to inform planning across the group of companies.
- Take ownership of their function, proactively identifying issues, improving processes, and escalating concerns to Ownership as needed.
- The Accounting Specialist will be, fluent in both QuickBooks Online and the Microsoft Suite, and serve as the primary owner of the day-to-day accounting function across our group of companies.
The ideal candidate will have hands-on experience with full-cycle bookkeeping and month-end close processes, and be comfortable working across multiple entities within a group of companies.
Strong communication skills and a collaborative approach with the team is essential, as is a proactive, ownership-minded approach to the accounting function.
